Our meeting rooms are free for the public to use, but donations are welcome. All rooms are handicapped accessible.

The Tamarack room is on the first floor and holds up to four people.

Hickory is our medium-sized room on the first floor that holds up to 25 people. We have a 75-inch Smart TV, projector, screen, and laptop available for use upon request.

Burr Oak is in the lower level of the library and holds up to 90 people. It comes equipped with full sound system including lapel and hand-held mic, Bluetooth enabled hearing loop, DVD player, laptop, projector, and screen.

Meeting Room Policy

  1. Meeting Rooms
    1. Meeting rooms are available to individuals or organized groups in the Library service area. Exceptions may be made by the Library Board if the Board deems extenuating circumstances are involved.
    2. The fact that a group is permitted to meet at the Library does not in any way constitute an endorsement of the group’s policies or beliefs by the Library staff or Board.
    3. Reservations are preferred at least two weeks, but not more than three months in advance.
      1. Reserved rooms will be held for 15 minutes beyond the scheduled start time. After 15 minutes, the reservation will be cancelled, and the room will be available for use by other individuals and groups.
    4. It is understood that library programming will have priority in room use.
    5. There will be no charge for use of the meeting rooms, however donations are gratefully accepted.
    6. Groups are responsible for setting up the room themselves and leaving it in an orderly condition. All library policies must be followed by groups or individuals while in meeting rooms.
    7. No admission may be charged by the group, however a nominal charge to cover meeting expenses is not prohibited. Fees for adult education courses conducted by established educational institutions are permissible.
    8. Refreshments may be served and shall be provided by the group. Cooking is prohibited. Smoking, use of tobacco products, or vaping is not permitted. Alcohol is not permitted, except in specifically approved library functions.
    9. The people using the room shall leave it in neat, clean, orderly condition. Staff will check used meeting rooms to verify that chairs and tables are clean and orderly, lights are off, trash is in bins, sink is clean, materials are stored properly, floors are clean, nothing stuck to walls or ceiling, bathrooms are clean, no damage to technology, nothing left behind.
      1. If meeting rooms are in poor condition, the group/individual will be given notice that continued offense will result in denied access to the meeting room.
      2. All meetings should end 15 minutes prior to the library’s closing. After hours use of the meeting rooms is limited to library and library co-sponsored events unless Library Board has approved the exception in advance.
    10. The Library is not responsible for any equipment, supplies, materials, clothing, or other items brought to the Library by any group or individual attending a meeting. The library will not provide storage space for groups or individuals using the meeting rooms except for library co-sponsored events.
    11. The Library Board and staff do not assume any liability for groups or individuals attending a meeting in the Library.
    12. The library reserves the right to make scheduling adjustments as needed.
  2. Displays and Exhibits
    1. As an educational and cultural institution, the Caestecker Public Library welcomes exhibits and displays of interest, information, and enlightenment to the community. Displays of handiwork, historical material, nature study, or any other material deemed of general interest may be exhibited. The director shall accept or reject material offered for display based on its suitability and availability.
    2. The Library assumes no responsibility for the preservation or protection, and no liability for possible damage or theft of any item displayed or exhibited. All items placed in the Library are there at the owner’s risk.
    3. Areas available to the public for displays and exhibits are the front window, the glass exhibit cases, the meeting rooms, and the general bulletin board.
